  • Do all your drivers have their medical certificate (DOT physical) up to date? This is one of the most important documents that you must have for your drivers. The DOT physical is a medical examination that ensures that your drivers are fit and healthy to operate a commercial vehicle. It must be performed by a certified medical examiner and renewed every 24 months or less, depending on the driver's health condition. If your drivers don't have a valid medical certificate, they could be disqualified from driving and face fines

  • Do all your drivers have a valid CDL? Another essential document that you must have for your drivers is the Commercial Driver's License (CDL). This is a special license that allows your drivers to operate different types of commercial vehicles, such as trucks, buses, tankers, etc. To obtain a CDL, your drivers must pass a written test and a road test, as well as meet other requirements depending on the state and the type of vehicle they drive. The CDL must be renewed every four years or less, depending on the state.

  • Are all your drivers linked to your Alcohol and Drug Program? As a transportation company owner, you are responsible for ensuring that your drivers are not under the influence of alcohol or drugs while driving. That's why you must have an Alcohol and Drug Program that complies with the DOT regulations. This program includes pre-employment testing, random testing, post-accident testing, reasonable suspicion testing, return-to-duty testing and follow-up testing for your drivers. You must also register your drivers in the Clearinghouse, which is a database that tracks their drug and alcohol violations.

  • Have you already performed the annual or pre-employment searches for your Drivers in the Clearinghouse? The Clearinghouse is a new system that was implemented by the DOT in 2020. It is an online database that collects and reports information about the drug and alcohol violations of CDL drivers. As an employer, you must query the Clearinghouse at least once per year for each driver you employ to check their violation history. You must also query the Clearinghouse before hiring a new driver to verify that they are eligible to drive.   • Do you have all the forms and requirements of the DOT up to date? This includes, MCS-150 - BOC-3 | Operating authority and UCRThe DOT also requires you to have some forms and documents that identify your company and authorize you to operate in interstate commerce. These include: The MCS-150 form, which is the Motor Carrier Identification Report.

This form provides information about your company, such as name, address, contact information, number of vehicles, type of cargo, etc. You must update this form every two years or whenever there is a change in your information.


The BOC-3 form, which is the Designation of Agents for Service of Process. This form designates a person or an entity in each state where you operate who can receive legal documents on your behalf in case of a lawsuit or a claim. You must file this form before you start operating and update it whenever there is a change in your agents.


The Operating Authority (MC number), which is a unique number that identifies your company and the type of service you provide. You must obtain this number if you transport passengers or regulated commodities across state lines or if you arrange transportation for others. The Unified Carrier Registration (UCR), which is an annual fee that you must pay based on the number of vehicles you operate in interstate commerce. This fee supports the safety programs of the states where you operate. You can register and pay for this fee through this link: https://www.ucr.gov/


Do all your drivers have the Driver's file up to date? The Driver's File is a collection of documents that you must keep for each driver you employ. These documents include:


  1. The driver's application for employment.

  2. The driver's road test certificate or a copy of the CDL.

  3. The driver's annual review of driving record.

  4. The driver's annual certification of violations.

  5. The driver's medical certificate and any waivers or exemptions.

  6. The driver's drug and alcohol testing results and records.

The driver's accident history and reports. You must keep these documents in a secure and accessible place for at least three years or longer, depending on the document.
